Church Administrative Coordinator
Position Summary
The Church Administrative Coordinator provides administrative, operational, and communications support to ensure the effective day-to-day functioning of the church office and ministry activities. This role serves as a central point of contact for members, visitors, vendors, and ministry leaders and supports the church’s mission through strong organizational and communication skills.
Key Responsibilities
Office Administration

Receive and distribute incoming mail, phone calls, and emails.

Manage the church calendar, including appointments, events, and facility usage.

Maintain inventory and order office and church supplies as needed.

Ensure proper working order and communicate maintenance needs of office equipment,including copier, printers, computers, and security systems.
Communication & Publications

Prepare official church correspondence, including letters and mass emails, which includes twice-annual bulk mailings (200+ pieces).

Prepare weekly worship bulletins, announcements, and materials for Sunday and special services. Prepare and distribute the monthly church newsletter, including writing articles, soliciting content from ministry leaders, and editing submissions.
Financial & Donor Support

Prepare and distribute quarterly and annual donor giving statements.

Prepare bills, purchasing reports, and income documentation for the financial team and
maintain official records.
Facilities & Event Coordination

Manage building rentals for regular meetings, special events, weddings, funerals, and other functions.

Schedule events, prepare and manage contracts, and collect payments as required.
Reporting & Compliance

Compile and format reports for the annual congregational meeting, including reports
from committee chairpersons and the pastor. -
Track and submit required statistical information for annual reporting to the UCC
governing body.
Systems & Technology

Maintain the membership management software (Church Windows), ensuring data
accuracy, membership roll updates, and report generation. -
Manage software licenses and subscriptions (Office 365, Google Workspace, Wix,
Canva, PayPal, etc.). -
Help manage church website.
Employment Details
Job Type: Part-Time (3-4 days a week, approximately 16 hours), salaried; the successful candidate will set their schedule in consultation with the church’s leaders.
Compensation: Based on experience, up to $20/hour, two weeks paid vacation per year
Work Location: Onsite in the church office (no remote option)
Education: High school diploma required; some college preferred
Preferred Qualifications & Skills

Proficiency in Microsoft Office (Word & Excel), OneDrive, Adobe Acrobat

Familiarity with Gmail and Google Drive

Experience with Canva or other graphic design platform and basic website management

Working knowledge of membership management software or other database

Comfort with office equipment and minor troubleshooting

Strong organizational, communication, and multitasking skills

Ability to maintain confidentiality and exercise discretion
